Financial & Cash Handling Policy

1. Point of Sale (POS) Procedures

  • Log in with your personal POS credentials — never use another employee's login
  • All sales must have a corresponding job number or invoice
  • Process EFTPOS/Credit card payments through the terminal — never manually record card details
  • Cash transactions must be counted in front of the customer
  • Issue a printed receipt for every transaction

2. Cash Register Operations

Opening Float: $200.00 — count and verify at the start of each trading day.
  • Count the float at the start of your shift — report any discrepancies immediately
  • Large denominations ($50, $100) go in the register clip, not the drawer
  • If the drawer exceeds $500 in notes, perform a safe drop
  • Never leave the register unattended while logged in

3. Refund & Credit Policy

4. End-of-Day Banking

  1. Count all cash and complete the reconciliation sheet
  2. Place cash in the deposit bag and seal
  3. Lock the bag in the safe
  4. Ben or Marcus will make the bank deposit on the next business day

5. Petty Cash

Petty cash is kept in the office safe — maximum float of $200. Used for small supplies, postage, and courier fees. Every withdrawal must have a receipt and be recorded in the Petty Cash Log.

6. Employee Purchases

  • Staff discount: 20% off parts and accessories, 10% off service labour
  • Must be processed as a proper sale — no "under the counter" deals
  • Management approval required for items over $200
Theft, fraud, or deliberate falsification of financial records will result in immediate termination and may be referred to Victoria Police.
